Introduction

Dear Kentucky Genealogical Society,

Thank you for providing us with the opportunity to provide you with ongoing maintenance and support for your WordPress website! 

My name is Mark Walz and Mission Story is my non-profit for non-profits! I started this business to provide support to non-profits with websites, graphic design, technology, fundraising, and marketing. I live in Lexington, KY with my wife and my two stepsons.

I have 20+ years of experience in WordPress website and have created over 100+ WordPress websites and have many clients who using our ongoing maintenance and support services. Many of them use page builders like Divi and Beaver Builder so I am well versed in Divi and most of the plugins that you already use.

I am very familiar with troubleshooting any problems that arise with WordPress and various plugins or hosting and if I am not able to resolve them myself I will contact the developer of the plugin or the hosting service and work to resolve it together.

Maintenance and Updates

Ongoing Maintenance and support for WordPress

We will maintain your website with regular backups and updates of the WordPress CMS, themes, and various plugins (providing you supply the license for updates).

WP Engine is your current webhost and they provide features for easy plugin, theme, and core updates as well as a resource for regular backups.

We suggest weekly website and database backups to the WP Engine server as well as weekly plugin, theme, and core updates.

We will troubleshoot any items that we are made aware of in a timely fashion - outlined below.

NOTE: Regular software updates contribute to website security. Some website assets (e.g. WordPress plugins or themes) may become incompatible with those updates, requiring additional work not included here to maintain compatibility if desired/needed. Mission Story, Inc. will notify the Client in advance of such updates.

Communication and Availability

We will respond to all management requests from you within 48 hours on/during normal business days (Monday - Friday), via email or phone, with a confirmation that the request was received, and an estimated completion date for each action item in the request.

We will adhere to quoted deadlines for deliverables. In the event that we have any issues in delivering on a quoted deadline, you will be notified via email or telephone with an explanation for any delays.

We will be available by email, phone, and text. Should an emergency arrive after-hours please call or text and we will get back to you as soon as we are able.

Plugins

To maintain your website and prevent hacking, plugins need to remain supported and updated and your website needs to have backups. You should maintain an updated license to these plugins.

You mentioned that Kentucky Genealogical Society would wish to retain complete ownership and responsibility for your own licenses and accounts.

Mission Story will help you secure and set up accounts for each of these licenses - you will pay the plugin developer directly through your own account. None of this will be paid to Mission Story you will pay the plugin developer directly.

Webhosting

Suggestions regarding your webhost

You mentioned that you are currently hosted on WPEngine but via a developer account owned by Firespring and that your website is about 10GB.

If you would like to break free and have your own hosting seperate from a middleman, then I would suggest to continue using WP Engine to do so or another WordPress friendly webhost like Bluehost. Below are some details on that - if you would like to transfer your website, we can help with that as well.

WP Engine's base plan for 10 GB of storage, 15 GB of bandwith, and up to 25,000 visits a month. This usually costs $300/yr for the annual plan or $30/mo for the monthly plan.

 

If you create a new account you should be able to get 40% get 40% off the first year ($180/first year). This includes auto-backups and SSL security (required).

Professional Plan

starts at $354/yr

WP Engine's next plan includes 15GB of storage, 125 GB of bandwith, and up to 75,000 visits a month. This usually costs $590/yr or $59/mo for the monthly plan.

 

If you create a new account you should be able to get 40% off the first year ($354/first year). This includes auto-backups and SSL security (required).

Bluehost's base plan includes 10 GB of storage This usually costs $143.88/yr or $11.99/mo.

 

If you create a new account you should be able to get it at a rate of $1.95/mo for the first year and $11.99/mo after. This includes auto-backups and SSL security for the first year only (required).

Choice Plus

starts at $77.40/yr

Bluehost's next plan includes 40 GB of storage. This usually costs $239.88/yr or $19.99/mo.

 

If you create a new account you should be able to get it at a rate of $6.45/mo for the first year and $19.99/mo after. This includes auto-backups and SSL security (required).

My recommendation is the WPEngine Professional plan.

Terms

This estimate is valid until March 1, 2024.

This agreement is between Mission Story, Inc, Company/developer, and Kentucky Genealogical Society, the Client.

Client is retaining Mission Story, Inc. as a provider of website management services. Client agrees to the charge of $150 per month in exchange for Services Included in This Agreement. 

Additional development services outside of the provided 2 hours per month are also included in this contract on an “as needed” basis and are subject to be charged at a regular hourly rate of $80.

Services Included in This Agreement

  1. Website Management services (up to 2 hours per month)
    1. Edit, revise, update or create new text content.
    2. Create minor graphic elements
    3. Consultation on use of website’s Content Management System (“CMS”) (WordPress).
    4. Regular monitoring and updating of CMS, associated assets and plugins, and website links.
    5. Ensuring compatibility of updates with current website layout.*
    6. Weekly website and database backups.
    7. Monitoring website downtime
    8. Monthly analytics reports
    9. Liaising with the hosting company to sort out the situation as quickly as possible.
    10. Website Code Development

*Regular software updates contribute to website security. Some website assets (e.g. WordPress plugins or themes) may become incompatible with those updates, requiring work not included here to maintain compatibility if desired/needed. Mission Story, Inc. will notify the Client in advance of such updates.

Services Excluded in This Agreement

  1. Graphic / User Interface Design
  2. Code editing equalling more than 50% change to given document or web page.
  3. CMS design or integration including but not limited to blogs, shopping carts and web forums.
  4. Cost or expense of plugins

Total Agreement

Mission Story, Inc shall provide Client with Services Included in This Agreement on a month-to-month basis. The contract will be paid on a Monthly Basis with payment due upon receipt of invoice sent at the beginning of each month.

Acceptable methods of payment include cash, check, credit card, and electronic payment. Late payments are subject to a $15 late charge. Late charges will be applied every 30 days an invoice remains unpaid.

During the duration of this contract, the Client agrees that Mission Story, Inc will be the sole provider of management services for the website, and no other party will have access to or rights to change the web site. If a party other than Mission Story, Inc makes changes to the website, any errors that are created must be repaired and will be charged for at the hourly rate specified above. Minor updates should not exceed more than 50% of the content on any single site page, THE PERCENTAGE TO BE DETERMINED BY MISSION STORY, INC.

Taxes

The client is responsible for all applicable federal, state, and local taxes levied on the transaction as described in this estimate. No tax exemptions will be recognized unless a valid tax exemption certificate is provided.

 

Services

By accepting the terms of this estimate, Mission Story, Inc. will perform the services as described in this document. Any additional work not covered in this estimate will incur additional charges.

 

Deadlines & Deliverables

Additional Services

Any revisions, additions, or redesign requests not specified in this document shall be considered “additional” and will require separate agreement and payment. Mission Story, Inc shall advise Client on any requested work that falls within these bounds.

Authorization

Client hereby authorizes Mission Story, Inc to access their web hosting account, providing active user name / password combinations for access to the server via FTP, assuring that 'write permissions' are in place on said hosting provider.

Signing this document confirms your agreement to the terms of this “Standard Agreement for Website Management”.

Schedule

Mission Story, Inc. will complete the services as per the schedule provided within this quote.
